Manually Adding Listings

Overview:

Your Real Estate COOLSite is integrated with an IDX Data Feed. This allows your visitors to search and view Active properties in MLS on your website within your specific market.

By virtue of having an integrated IDX Data Feed associated with your website, there is no need to manually add listings since the listings will come over automatically.

However, there may be certain scenarios in which you will choose to manually add a listing to your website.

Examples:

If a particular listing changes status to something other than Active and you still wish to have this listing displayed on your website.

If you want to display a listing on your website that is not yet in the MLS.

If you are not integrating your website with an IDX Data Feed.

Please note that these listings will need to be updated as needed on a manual basis (ie: Price Changes, Remarks, etc...), as these listings will not feed over to your website automatically.

Instructions:

Login to your COOLSite Admin.

Click the "Add My Listing" button from the menu on the left.

Select a "Property Type" from the drop-down menu.

Using the form provided, enter as much information as you can (including uploading photos) into the corresponding fields, for the property that you are adding.

When done, click on the "Submit Listing" button at the bottom of the page to save your changes.

You can verify that the listing has been added by clicking on the "View My Listings" button from the menu on the left. The property that you added will appear as a "User Defined" listing.

Note: In order to display your manually added listings on your website, you will need to have an IDX Listings page configured to show "User Defined" listings.

If you allow users to register to your site and one or more of your registered users save a search on a particular page of your site, you will not be able to rename that page. This function exists to avoid your registered users to save a search then lose it due to deletion or renaming by you or any other administrator of your site.

If you would still like to rename the page you can hide the current page and create a duplicate one with the new name you would like. To do so please follow these instructions:

Go to your current page to be renamed and make note of any search criteria that you have made to this page.

In your Pages section, hide the current page by checking the "Hide Page" check box for that page and click Save at the top left corner.

Click Add New Page in the top left corner and set the page type to the same IDX Search, Featured Properties or My Listings page type that you had previously and name it the new name that you would like.

Once you have done this, if you are not at the configuration for this search go to edit the page by clicking the Edit icon.

In the editing page, reapply all of the search criteria and other configurations you have had from the original page and click Save Search Parameters.

After following the steps above, you should have a new page with a new name that is identical with your previous one.

Listing Inquiries / Lead Routing

Within your COOLSite admin area, you can specify how listing inquiries from your site are routed (ie: when a visitor contacts you about a particular listing on your site). To configure these settings, you will need to click on "Configuration > Contact Settings" from the menu on the left.

OPTION 1

Choose this option if you would like to show the relevant agent / brokerage info as configured in the Configure Agents / Configure Brokerages area (ie: For all listings in the "View My Listings" area, show the info. for that particular agent/brokerage on the site and/or use the e-mail address specified for that agent/brokerage as the contact or e-mail address in which the lead or listing inquiry is sent to.

Additionally, if someone is viewing a listing on your site that does not appear in your "View My Listings" area, then you can use the drop-down box here to select which information is then shown on your site / which e-mail address will be used to send the listing inquiry or lead to. You can select from any existing agent/brokerage already configured on your site or you can select the option for "Site Owner Information" if you would like to show / use the information that we currently have on file for you in our system.

OPTION 2

Select this option if you would like to use the information from a specific agent/brokerage already configured on your site, regardless to whether or not the listing is currently in your "View My Listings" area. This option basically allows you to manually control the information which is displayed on your site / to which e-mail address the lead or listing inquiry is to be sent to.

Additional Display Options

#1 Select this option to provide your visitors with a choice of agent(s) they would like to contact about a particular listing. If you select this option the lead will be routed to the agent selected by the visitor. However the information displayed will still be controlled by your selection above (Option 1 or 2).

#2 Send contact requests to this email address IF AND ONLY IF the agent selected by my website user is "Not sure". This setting is only applicable if the above setting #1 (Additional Display options) is enabled.

#3 Select this option to show an e-mail text link field when viewing the property details on any listing.

Additional Contact Options

Select this option to send a blind carbon copy (BCC) of the "Contact Agent" and "Request a Showing" leads to the e-mail addresses specified in the box alongside. Separate multiple e-mail addresses with a comma.

Updating Featured Properties on Home Page

Overview

The "Featured Properties" area of your Home Page allows you to highlight and showcase particular listings on your website. This is done via a slideshow of the photos that pertain to the listings that you have selected to be included. Your visitors can click on any of the photos in the slideshow for full listing details. The benefit of the "Featured Properties" area is that you can call attention to particular listings that you would like your visitors to see (ie: Price Reduced, New Listings, etc...).

How to Update the Featured Properties

1) Click on "Pages" from the menu on the left in your COOLSite Admin.

2) Click on the "Hidden Pages" tab at the top and look for a page titled "Featured Properties" or "Featured Props". Typically, you should only see one of these two pages. However, if both of these pages exist, please let us know and we will be able to identify which of these pages you need to edit here.

3) Click on the corresponding icon under the "Edit" column, to edit this page.

4) From the listing grid below, place a checkmark under the "Featured" column, next to the properties that you would like to mark as a featured property, and uncheck any that you no longer want as a featured listing. You can use the search above to find these listings faster.

5) Click on the "SAVE" button below to save your changes.

6) You can now view your website to confirm that your featured properties have been updated successfully.

NOTES:

The Featured Properties area of your Home Page does not update automatically to reflect your new listings as they become available. This is a user-maintained feature that requires you to update manually, as there is no way for the system to automatically know which listings you would like to feature at any given time.

When editing this page in your COOLSite Admin, you can also click on the "Captions" & "Display Settings" links above for additional configuration options.

Manually Editing Listings

For any listings currently appearing within the "View My Listings" area in the admin, you can manually edit the data on these listings by clicking on the MLS # under the "Listing ID" column. Using the form on the following page, you can modify the listing data and once done, you will need to click on the "Submit Listing" button at the bottom of the page to save your information. However, please note that when you manually edit a listing, this automatically locks the listing from future automatic updates. Therefore, we recommend that any changes that you may need to make on these listings be made directly in your MLS system and the changes should then come over automatically from MLS once the next datafeed import runs for your market. If in the event you make changes to any of these listings directly in MLS and these changes are not reflected back on your site when the next datafeed import runs, then please let us know by e-mail at support@Colony1.Net or by phone at 954-341-7031 so that we can look into this further for you. Thanks!

NOTE: If you have already manually edited a listing previously in your admin area and would like to remove the override / lock from the listing so that the listing once again receives automatic updates from the feed data / MLS, then please provide us with the specific MLS #'s for these overridden listings, and we will then be able to manually clear / remove the overrides from our end.
